Terms of Service
These terms govern your use of BillNBin. They are written to be read rather than skimmed, so where something matters it is stated plainly instead of buried.
Effective 15 September 2026
Who we are
BillNBin is inventory, billing and GST software provided by BillNBin, operated by CodeQuackers ("we", "us"). It is a multi-tenant platform: many businesses use the same service, and each business's records are kept separate from every other's.
By using the service — whether as the business that holds the account or as a user invited into it — you agree to these terms. If you are agreeing on behalf of a business, you confirm you are authorised to do so.
The service
BillNBin helps a business record sales, stock, purchases, payments and expenses, and produce GST-compliant documents and reports. The service is provided on an invitation basis: accounts are created by us after an enquiry, and there is no self-serve signup.
Modules are enabled per business. We may add, change or retire features as the product develops, and we will tell you before a change materially reduces what you rely on.
Accounts and access
- Each business is provisioned by us as a tenant, with one or more users beneath it.
- A user account belongs to one business. It is personal and must not be shared.
- You are responsible for the accuracy of the details on your account and for keeping credentials confidential.
- You must tell us promptly if you believe an account has been compromised.
- You may not attempt to access another business's records. Every record is scoped to its own tenant, and attempts to cross that boundary are logged.
Your responsibilities
- Keep your business details, tax registrations, item data and user list accurate and current.
- Configure tax settings — registration status, rates, HSN/SAC codes — correctly for your business.
- Maintain the statutory records Indian law requires you to keep, independently of this service.
- Ensure your staff use the service lawfully and within the permissions you grant them.
- Obtain any consent you need before entering another person's personal data — for example a customer's name and phone number — into the service.
Acceptable use
You agree not to:
- use the service for anything unlawful, fraudulent or misleading, including issuing documents that misstate a transaction;
- attempt to access, copy or interfere with another business's data, or probe the platform's isolation;
- reverse engineer, resell, sublicense or white-label the service without our written agreement;
- scrape or bulk-extract data other than your own, through the export features provided;
- upload malicious code, or use the service in a way that degrades it for others.
Deliberate misuse of numbering, backdating or billing features to misrepresent a transaction is a breach of these terms. The service records such actions in an audit trail, which we may rely on.
Your data
The records you put into BillNBin belong to you. We hold and process them to provide the service, and we do not sell them. You can export your data at any time using the export features, and you can ask us for a full export.
We may use aggregated, de-identified information — such as the number of active businesses or aggregate usage patterns — to operate and improve the platform. We do not use your identifiable records for that purpose.
How we handle personal data is set out in our Privacy Policy, which forms part of these terms.
Fees and billing
- Pricing is agreed individually with each business. Nothing on our public pages is an offer of a price.
- Fees are invoiced by us; applicable GST is charged on top.
- Payments are not processed on the platform. We invoice, and settlement happens outside it.
- Where a subscription lapses, access becomes read-only rather than being cut off abruptly, so you can export your data.
Availability and support
We work to keep the service available during business hours, but we do not promise uninterrupted access, and during the pilot period no uptime guarantee applies. Maintenance, upstream provider failures and connectivity at your own counter can all interrupt use.
Support is provided to the contact on your account, at codequackers.in@gmail.com.
Suspension and termination
- You may stop using the service at any time by telling us.
- We may suspend or end access if these terms are breached, if fees go unpaid, or if the law requires it.
- Where practical, we will give notice and a chance to remedy the issue first.
- After termination, account data and non-financial personal data are deleted, subject to the retention below.
Third-party services
BillNBin relies on third-party providers for hosting, database infrastructure, email delivery and web fonts. Sharing a bill over WhatsApp uses a link that opens WhatsApp on your own device; we do not send your data to WhatsApp on your behalf.
If we enable a paid messaging integration in future, it will be optional and described here and in the Privacy Policy before it applies to you.
Disclaimers
The service is provided on an "as is" basis. During the pilot period in particular, we do not warrant that it will be error-free or that every report will match what a particular accountant expects. You should reconcile against the records you are legally required to keep, and take professional advice where it matters.
To the extent the law allows, we exclude implied warranties of merchantability, fitness for a particular purpose and non-infringement.
Limitation of liability
To the extent permitted by Indian law, our total liability arising out of or relating to the service is limited to the fees you paid us in the twelve months before the event giving rise to the claim. We are not liable for indirect or consequential loss, loss of profit, loss of business, or loss caused by data you entered incorrectly or by tax settings you configured.
Nothing in these terms limits liability that cannot lawfully be limited.
Changes to these terms
We may update these terms as the product and the law develop. Material changes will be communicated to the contact on your account before they take effect, and the effective date at the top of this page will change. Continuing to use the service after a change means you accept it.
Governing law
These terms are governed by the laws of India, and disputes are subject to the exclusive jurisdiction of the courts at India.
